Privacy Policy

Last updated: [date the site goes live]

Rosebud Police Senior Citizens Register Inc. (ABN 33 117 797 981, Incorporated association no. A0050789U (Vic)) respects your privacy. This policy explains what information our website collects, why we collect it, and how we look after it.

What we collect

  • Contact form: your name, phone number, email address (if you give it) and your message.
  • Online membership application: your name, address, suburb, phone number and date of birth; your spouse or partner's name and date of birth; your next of kin or emergency contact; your doctor's details; your private health fund; any health problems you choose to tell us about; and details of anyone who holds a key to your home.
  • Donations: card payments are processed by Stripe and we never see your card details. We keep your name, email address, postal address (if you give it), the amount and the date, so we can issue your tax receipt and keep the records the law requires. If you ask us to keep your name private, our volunteers will not see it in our records, but we still keep it to issue your receipt. Donation records are stored by our website's hosting provider in the European Union (Ireland).

Newsletter

If you subscribe to our newsletter, we keep your email address, your first name if you give it, and a record of when and how you subscribed. We use these only to send you our newsletter. Newsletters are sent through our email provider, Resend, which stores this information in the United States. You can unsubscribe at any time using the link in any newsletter, or by contacting us, and we will stop sending to you within 5 working days.

Why we collect it

We use your information only to provide the Register's services: to contact you, to arrange check-in calls and home security audits, to issue your ID card, and to share your details with Police, Ambulance or Fire Brigade in an emergency. We do not sell your information or share it for any other purpose.

How we store and protect it

  • Online applications are encrypted before they are stored. They are held by our website's hosting provider in the European Union (Ireland), where the General Data Protection Regulation (GDPR) applies.
  • Only authorised Register volunteers can view applications, after logging in to a password-protected area of the website.
  • When we receive an online application, we are emailed your name and suburb only. Your other details are never sent by email.
  • Once your application has been added to the Register's confidential records at Rosebud Police Station, we delete it from the website. We aim to do this within 90 days.
  • Messages sent through the contact form are emailed to the Register and kept, encrypted, in the website's secure admin area so our volunteers can follow them up. They are deleted 12 months after the enquiry is closed.
  • Paper applications are kept at the Register office at Rosebud Police Station.
  • We use trusted service providers to host the website, send emails and process donations.

Cookies

Our website does not use advertising or tracking cookies. When volunteers log in to the admin area, their login is remembered in their own browser only.
